Each race weekend is overseen by a Race Weekend Organizer. This will be an experienced parent/family who will make sure that camp roles are filled (trailer, camp set-up, camp tear-down)
For each race weekend, there are many volunteer opportunities. Opportunities listed below that require a certified NICA coach will will be tagged with a C. Positions that will have a radio (linked to NICA and camp) noted with an R. Positions that require a badge are noted with a B. Counts of volunteers are in parenthesis ().
Our trailer is relatively light and tows easily. You'll need a truck with a ball hitch
A few families arrive on Friday, ~5. These families unload the trailer, set up the popups, deploy the chairs, grill, lights, tables, etc. for the early arrivals on Saturday to use
New for 2025, we will be setting up a pop-up alongside the finish line chute for our riders to congregate at once they've wrapped up their race. This job can also be done early on Saturday morning by athletes.
No riders are allowed on-course without a number plate on Saturday. Do not attach the plate to the bars, attach it loosly to the cables. On Sunday, in addition to the plate on the bike all racers must have a number pinned to their jersey. When pinning the number, be careful to not block the racer's pockets if they use them.
The board includes category, warm-up times, staging times, race times.
Coaches will take our riders on a loop (or 2) of the course to review the race and obstacles they'll encounter on race day.
This is a very important job - the family will coordinate with the Race Weekend Coordinator to plan and purchase the food for Saturday's evening meal and Sunday's breakfast.
The racer's call-up is REQUIRED to be on their arm. It is also recommended that their gate and time are on their arm as well.
This is an important job, and a busy one. Warm-up coaches will ride ~20 miles, potentially more. Warm-up coaches should be seasoned coaches and racers. They will be dealing with nerves and questions while making sure to hit proper biomarkers on the fly with categories as varied as 5th grade girls and Varsity men. Warm-up coaches will take athlete cohorts on a warm-up ride 30 minutes before staging.
Warm up coaches are responsible for making sure the athletes are to the staging gates on time.
This volunteer position is a support position for the warm-up coaches. You will be at the staging gates (A, B, C) at the start line to accept athletes from the warm-up coaches and pass them off to the NICA staging volunteers. We should always have 1 volunteer at the gates.
The Race-day Lead remains in camp to make sure that all riders are ready to warm-up. You are responsible for locating riders, making sure they have their plates, jersey numbers, water bottle, etc.
Experienced parents or coaches who know how to hand up bottles. They'll make sure the athletes have supplied them with bottles for the feed zone trolley.
Volunteers (not coaches) who will be at the finish line in our tent with water, electrolytes, support, and snacks
Lots of work, lead by the Race Weekend Coordinator
